Private Fishing and Charter Tour

Tampa Bay is one of the country’s largest estuaries and home to some of the most sought-after game fish. Join us on a private charter around Tampa’s beautiful fishing locations. Hubbard’s Marina, a local legend with nearly a century of fishing expertise, will help guide and share their knowledge and experience to ensure great fishing. Restrooms will be available on board. EVENT HOTEL RATE AND CUT OFF DATE
Rate: $349 plus taxes per night
Energy Insurance Mutual attendees are responsible for making their own travel and hotel arrangements. A set number of rooms are available at the group rate for registered conference attendees until Thursday, February 17, 2025 or until the group block is sold out, whichever comes first. After this time, the hotel has the right to sell any available rooms at a rate which they choose. While EIM studies past attendance trends and the needs of our members, we cannot guarantee rooms will be available. Please plan ahead and secure a reservation as soon as possible to receive the group rate.

To ensure that enough hotel rooms are available for attendees, EIM reserves the right to limit attendees to one room per registered attendee within the discounted guest room block. If this occurs, additional rooms can be reserved at the hotel's list rates as long as rooms are available.

Reimbursement Guidelines
EIM will reimburse each Member Company for the expenses incurred by one Risk Manager or Member Representative attending the meeting.
If you are unable to attend the meeting, you may send an alternate representative from your company.
If no one from your company is able to attend, you can send your Broker. However, Broker expenses will not be covered.
All attendees will be responsible for hotel bill resort charges not otherwise billed to EIM upon departure from the hotel.
Below are the guidelines for the expenses that will and will not be reimbursed by EIM.
The expenses that will be reimbursed:
- Travel expenses equivalent to air travel for one person Coach Class fare only. Airfare reimbursement maximum is $1000. Spouse/Guest are not reimbursable.
- Taxi service from the airport to the hotel will be reimbursed up to $60. A receipt is required.
- Shuttle service will be provided from the hotel to the airport on Tuesday only. If shuttle service is not available, EIM will reimburse for taxi service up to $60 on Tuesday only.
- Sunday and Monday nights lodging will be reimbursed. However, if you are attending an all-day tour on Sunday, Saturday night’s stay will be reimbursed. This does not include golf or spa activities.
- The following meals will be reimbursed for attendee and spouse/guest up to $50 per person: dinner Saturday if doing an all-day tour on Sunday, breakfast Sunday and lunch on Sunday & Monday (if you are not on a tour or golfing).
- Each traveler will be reimbursed for one baggage fee.
The expenses that will not be reimbursed:
- Flight expenses (seating upgrades, extra leg room or early check-in).
- Rental car.
- Hotel parking.
- Departing city airport parking or car/taxi service.
- Travel meals (to/from the meeting).
- Tips.
- Internet service.
- Personal items purchased (golf balls, apparel, souvenirs).
- Expenses incurred by Brokers attending the meeting.
- Activities or amenities not organized by EIM (add-on spa services, hotel room mini bar, etc.).
After the meeting, each Risk Manager or Member Representative attendee should submit an EIM expense report (available on the EIM website) for reimbursement (converted to US dollars if applicable). Dinners
The evening events on Sunday, March 23rd and Monday, March 24th, will include dinner and entertainment.
Attire
Business casual attire is appropriate for all daytime and evening functions.
The Monday, March 24th reception/dinner will be hosted outside. Please dress accordingly.

The average daytime temperature for Florida in March is 75 degrees and 60 degrees at night.

Frequently Asked Questions
When I register, do I have to make my own hotel reservations?
Yes, once you register for the conference you will need to register with the hotel separately. See the Hotel/Travel link.
How many nights will EIM reimburse me for the hotel?
EIM will pay for two nights stay at the hotel. If the attendee registers and has participated in an all-day activity sponsored by EIM on Sunday, EIM will pay for the Saturday night stay. See Reimbursement Guidelines.
Can I bring more than one guest?
Each attendee is allowed to bring one guest.
Are children allowed at the conference?
EIM does not allow children to participate in activities, receptions, dinners or meetings. Must be 18 years or older.
Does EIM provide breakfast for guest?
Attendees and their guest can enjoy a complimentary breakfast in the meeting room. Monday and Tuesday from 7am – 8am.
How much will EIM reimburse me for meals not provided?
All qualifying meals will be reimbursed up to $50 per person per meal.
Qualifying meals: Saturday dinner, Sunday & Monday lunch (if not participating in golf or off-site activity)
Can I change my activities once I receive the confirmation?
Yes, only if there is room available in the new activity.
Do you have a shuttle service available to and from the airport?
Departure shuttle service will be available every 30 minutes to the Tampa International Airport (TPA). Shuttles will begin at 11 a.m. and end at 3:30 p.m. However, a reimbursement up to $60 will be given for a taxi ride from Tampa International Airport to the JW Marriott Tampa.
Are boxed lunches provided with the activities?
EIM provides lunches for those attendees participating in the tours and golf.
